We'll cover different types of notifications, setting up and managing your notification preferences, and troubleshooting common issues. Account Notification Settings
Within the Avoma Settings, a user can establish or modify their Account Notification Settings. These settings are only targeted at the individual and NOT at the organizational level.
Pre-Meeting Notifications
If you don't want to forget about your upcoming meetings, you can turn on your own meeting reminder. Toggling the Meeting Reminders to Yourself setting to On will enable an email reminder to be sent before each of your upcoming meetings.
To ensure your customers don't forget about your upcoming meetings, you can also turn on Meeting Reminder to Participants. In this section, you can choose between internal participants (anyone with the same domain as you) or external participants. Those that are listed as participants will receive an email reminder for the meeting as well as the recording disclaimer message to comply with the 2-party consent requirements.
Avoma Best Practice: We recommend at least one reminder email 24 hours before the meeting. This will ensure your customers are prepared to meet, and if a conflict has arisen, they have plenty of time to reschedule.
Post-Meeting Notifications
Avoma transcripts take some time to process, so you can turn on the Transcript Ready Notification and you will receive an email once your Avoma recording and notes are ready to review.
This allows you to go back to work until you get the notification; then you can clean up your notes and send them out to the participants.
NOTE: The Transcript Ready Notification email setting is only for you, and not all meeting participants. Their Account settings will dictate what they receive.
The Transcription Ready Notification includes:
- Links to the transcription, notes, and scorecard (if available)
- Topics discussed
- List of the participants that attended the meeting
- Key Takeaways
- The action items separated by participant
- Smart notes for all organizations which include two smart categories data from generated notes.
- Tracked Keywords (and their counts)
NOTE: The KeyTake aways summarization of notes is only available for Premium users (and those currently in a user trial).
Organization Notification Policies
If you want everyone within the organization to follow the same notification policies, an Avoma Admin can configure it here, and this will lock the notification settings for individual users.
