How to Record Meetings without Calendar connection

Use the Avoma Assistant to record any meeting, even without connecting your calendar.

 

Invite assistant@avoma.com to your calendar events to guarantee Avoma records your meetings regardless of your individual recording settings or calendar connection status. This flexible option is ideal for users who prefer not to link their calendar to Avoma but still want to capture selected meetings.

Using the Avoma Assistant

  1. Schedule your meeting in your preferred calendar platform (Google Calendar, Outlook, etc.).
  2. Add assistant@avoma.com as an attendee i.e simply include this address in your meeting invitation’s attendee list.
  3. Send the invite as usual.

Once the invitation is sent, Avoma Assistant will automatically receive the meeting details. The meeting will then be recorded and processed within Avoma, regardless of your current recording policy.

Impact on Recording Settings

By adding assistant@avoma.com to an invite, Avoma will:

  • Override most recording restrictions, ensuring your meeting is captured even if internal/external or domain-based recording settings are disabled. Note that Avoma will not record meetings where recording is manually disabled on synced invites.
  • Avoma will continue to enforce your plan’s limits; recordings will not proceed if you’ve reached your monthly quota or if your subscription does not include recording features.
  • Sync the meeting directly to your Avoma dashboard, displaying it alongside meetings scheduled through a calendar connection.

Key Considerations

  • This option works whether or not your calendar is connected to Avoma.
  • For any meeting where assistant@avoma.com is included, your usual recording settings are bypassed.
  • Plan limits and feature entitlements remain in place i.e exceeding your recording allocation will prevent new recordings.
  • These meetings appear in your Avoma dashboard with the same features as all Avoma-recorded sessions, including notes, highlights, and insights.
