Sharing Meetings and Snippets in Avoma

Share a meeting with a colleague or someone outside your organization

In Avoma, you have the ability to share full meetings (recording, transcript, notes, or snippets with others within or outside of your organization. We know that security is paramount so we give you complete control over who has access to meeting recordings when you share.

To share, you will begin by clicking into your meeting and selecting the “Share” option in the top right corner of your screen.  In the pop-up you can invite users via email or get a shareable link. 

Share via email to Avoma users

If you want to share the meeting or snippet to other Avoma users via email, simply type (or select) the email addresses of the person(s) you want to share the meeting with in the "Invite via Email" field of the pop up.

Share a meeting or snippet to Non-Avoma users

Share a meeting with someone that is not within your organization takes a bit more forethought. To do so, follow these steps:

  1. Change the Access Permissions button to "Public" and then add the target person's email address to the Invite via Email field. 
     
    The shareable link will only be accessible to those with access to the meeting or snippet unless the privacy for the meeting is adjusted to “Public”.  If you use the public link method, anyone who has the link will be able to view the recording, so be sure to only send it to people you trust. You can also set an expiration date for the recording so if anyone tries to access it after it expires, they will not be able to see it.

  2. Copy the link from the Get a Link field and share it with them.
     
    The shareable link will only be accessible to those with access to the meeting or snippet unless the privacy for the meeting is adjusted to “Public”.  If you use the public link method, anyone who has the link will be able to view the recording, so be sure to only send it to people you trust. You can also set an expiration date for the recording so if anyone tries to access it after it expires, they will not be able to see it.

If you would like to keep the privacy settings to either “Private” or “Visible to Organization” you will need to first invite that person via email before sharing the link. They can then sign up for a 14-Day trial of their own or a Collaborators (Free) license.


 

Troubleshooting: If a receiver of a snippet or meeting cannot access the required meeting, there is a strong likelihood that it has to do with the Access Permission setting.

These are the scenarios where the recipient will be able to view the Meeting/Snippet

  1. Hold Avoma License + Are a Participant of the call + Any Access Permission setting
  2. Hold Avoma License + Are Not a Participant of the call + Public Access Permission Setting
  3. Hold Avoma License + Are a member of the same Organization Domain + Organization Access Permission Setting
  4. No Avoma License + Public Access Permission Setting
