Use the Prompt Library in Global Ask Avoma to quickly find, run, create, and manage prompts across your organization. This guide walks through every section of the library, including saved prompts, collections, and scheduled prompts.

What is the Prompt Library?
The Prompt Library is a central place to discover, organize, and manage prompts for Global Ask Avoma. It contains prompts you’ve created, prompts shared by your teammates, default prompts built into Avoma, and prompts organized into collections by team or use case.
You can run any prompt directly from the library, save prompts you use often, create your own, and schedule prompts to run automatically on a recurring basis.
How to access the Prompt Library
- From the Ask Avoma chat window — click Prompt Library at the bottom of the chat input.
- From Settings — go to Settings → Prompt Library.
Note: Both entry points open the same interface. Your prompts, saved items, and collections are available from either location.
What’s inside the Prompt Library
The left navigation of the Prompt Library is organized into the following sections:
Recently used: Prompts you’ve run recently, for quick access without searching.
Prompt gallery: A browsable gallery of all available prompts across every category.

Saved: Prompts you’ve explicitly saved for quick access.

My prompts: Prompts you’ve created yourself, both private and shared with your organization.

Scheduled for you: Prompts currently scheduled to run on a recurring basis for you.

Teammates’ prompts: Prompts created by other members of your organization and shared org-wide.

Default prompts: A set of prompts built into Avoma, covering common use cases across sales, CS, and leadership.

Collections
Prompts grouped by team or theme. Collections are visible to everyone in your organization. Examples include Sales & Discovery, Customer Success, Revenue Operations, Coaching, and Product Management.

Note: Collections are visible to everyone in your organization and can include both private and organization-level prompts. Private prompts you add to a collection remain visible only to you.
How to run a prompt
- Open the Prompt Library from the chat input — click Prompt Library at the bottom of the Ask Avoma chat input.
- Browse or search for a prompt. Use the left navigation to filter by section or collection.
- Click the 'Use' button on the right to run it immediately in Ask Avoma.

Note: Prompts can only be run from the Prompt Library accessed through the chat input. Opening the library via Settings → Prompt Library lets you create, edit, and organize prompts, but does not allow you to run them.
Tip: You can edit a prompt before running it. Open the prompt, make your changes in the text field, then send it.
How to create a prompt
- Open the Prompt Library.
- Click New at the top of the library.
- Enter your question in the Prompt field.
- (Optional) Click Refine to use AI to improve or clarify the prompt.
- Under Who can use this prompt?, choose:
- Only me — the prompt is private to you.
- Anyone in my organization — the prompt is visible to your whole organization and will appear under Teammates’ prompts for others.
- (Optional) Add the prompt to a collection by selecting one from the Add to a collection dropdown, or click + New collection to create one.
- (Optional) Turn on the Schedule this prompt to run at a regular frequency toggle to set up a recurring report. See the Scheduled prompts article for details.
- Click Create.

Caution: Changing Who can use this prompt? from Only me to Anyone in my organization makes the prompt visible to your entire org. This change takes effect immediately after saving.

How to save a prompt
If you type a question directly in the Ask Avoma chat and get a useful answer, you can save that prompt for future use without having to re-enter it. This is useful when you want to reuse or schedule a question you ran on the fly.
To save a prompt from the chat:
- Hover over your prompt message in the chat.
- Click the save icon (floppy disk) that appears next to the message.
- The Save prompt dialog opens — this is the same dialog used when creating a prompt in the Prompt Library.
- Enter any details: who can use it, which collection to add it to, and whether to schedule it.
- Click Create.
The saved prompt will appear under My prompts in the Prompt Library, where you can find and reuse it at any time.
Tip: Use the copy icon next to a prompt message to quickly copy the text and paste it into a new chat or share it with a teammate.
What are Collections in the prompt library?
Collections group related prompts together so teammates can find them easily. They are visible to everyone in your organization.
- To create a collection — click + New collection in the Add to a collection section when creating or editing a prompt. Requires admin role for org-level collections.
- To add a prompt to an existing collection — open the prompt and select the collection from the Add to a collection dropdown.
- To remove a prompt from a collection — open the prompt and deselect the collection.
Note: Admins can create and manage org-level collections, including the default collections preconfigured for your organization. Any member can add their own prompts to an existing collection.
Any private prompt you add to a collection remains visible only to you, even though the collection itself is visible org-wide.
Frequently asked questions
What’s the difference between My prompts and Saved?
My prompts contains prompts you created. Saved contains prompts you’ve explicitly saved from anywhere in the library — including default prompts, teammates’ prompts, or your own. A prompt can appear in both sections.
Can I share a prompt I created with my whole team?
Yes. Set Who can use this prompt? to Anyone in my organization when creating or editing a prompt. It will appear under Teammates’ prompts for everyone else in your org immediately after saving.
Can I schedule any prompt from the library?
Yes. Open any prompt and turn on the Schedule this prompt to run at a regular frequency toggle. You’ll then set the cadence, day, time, and optional delivery channels (Slack, Microsoft Teams, or email).
Who can see prompts inside a collection?
Collections are visible to everyone in your organization. However, private prompts within a collection remain visible only to the person who created them — other users will see the collection but not those private prompts.
