How to use Avoma after a meeting
Learn how to use Avoma after a meeting to review notes, edit action items, create tasks, and keep your team aligned and informed.
1. Review AI‑generated notes
When your meeting ends, Avoma automatically creates AI Notes with a summary, key questions, and next steps.
To review them:
- Open your meeting from the Past Meetings section in Avoma.
- Click Review or Meeting Title to open the meeting and see what was captured.
- Review your notes to make sure everything is captured as you need.
2. Edit your notes to add any missing context
Avoma’s AI Notes provide a strong first draft, but they work best when you add a final human check.
You may want to:
- Add any extra context the AI might have missed, such as tone, reactions, or small commitments.
- Use short, clear bullet points.
- Make sure every action item has an owner and a deadline so nothing is forgotten.
3. Regenerate your notes with a different template if needed
If you realize you attached the wrong template before the meeting, or you want to see the same conversation summarized for a different purpose, such as a customer success follow-up instead of a sales summary, you can regenerate the notes in seconds.
To regenerate your notes:
- Open the meeting, click Change Template.
- Select the template you want Avoma to use instead.
- Review the new version and adjust or change the template again if needed.
Your Avoma notes and transcripts are not just for internal review — they’re designed to be shared and reused across tools and teams. This helps you keep everyone aligned without duplicating effort.
4. How to reuse notes and transcripts:
- Open your meeting in Avoma.
- Copy either the AI Notes or the full transcript.
- Paste them directly into:
- A follow-up email to your customer
- A Slack/Teams message to your team
- An internal slide deck or doc for reference
This ensures that the same accurate information flows everywhere, without you having to rewrite key points.
5. Auto generate email follow up
Following up after a meeting is critical, but drafting emails from scratch takes time. With Avoma, you can instantly generate a professional follow-up email using your meeting notes.
How to generate a follow-up email:

Open your meeting in Avoma.

Click on Generate Follow-up Email.

Avoma will draft an email using the meeting summary, key decisions, and next steps.

Review and edit the email to add any personal touches.

Send it directly from Avoma (if email integration is enabled) or copy it into your email client.
This feature helps you close the loop quickly, ensures nothing falls through the cracks, and makes your follow-ups consistent and actionable.
6. Create and share Snippets from your transcript
Sometimes you want to highlight and share just one short moment from a long meeting, like a key quote, decision, or objection. In Avoma, you can create Snippets directly from your notes or transcript.
How to create a Snippet:
- Highlight the portion of the transcript you want and click on Create Snippet.
- Name your Snippet clearly. For example, Customer Objection or Next Step Agreement.
- Copy the Snippet link and share it by Slack or email so others can jump straight to that moment.
7. Create a HubSpot or ClickUp task directly from your notes
You can turn a follow-up action in your notes into a real task in your CRM or project tool, without switching tabs.
How to create a task:
- Highlight the action item or next step in your Avoma notes.
Click Create Task. - Choose HubSpot or ClickUp as the destination.
- Fill in the task name, due date, and assignee if needed.
Note : Make sure your Avoma account is connected to HubSpot or ClickUp first.
