Zoom recording: rules and limits

When Avoma can record a Zoom meeting, and what to expect in internal meetings, external meetings and breakout rooms.

Before you begin

  • The Zoom desktop app, version 6.5.5 or newer, for both you and the host
  • Zoom connected in Avoma, by you or your admin
  • All paid Avoma plans and active trials
  • Any Zoom account, including free Zoom Basic. Only the Zoom Cloud option needs a paid Zoom license.
  • For meetings where Avoma Assistant joins as a participant: the host's Zoom must allow joining from the browser (Show a "Join from your browser" link)

In short

  • Who hosts the meeting matters. When someone at your company hosts, Avoma records directly through Zoom. When someone at another company hosts, Avoma Assistant joins as a participant to record.
  • Someone from your organization needs to be in the meeting. Avoma can't join, access or record a Zoom meeting unless at least one person from your organization who has Zoom connected is in it.
  • The host is always in control. At any time, the host can stop sharing with apps or remove Avoma Assistant.

Meetings hosted by your company

Situation What happens
Everything is set up Avoma records directly through Zoom. No extra participant joins.
Share realtime meeting content with apps is turned off, or the app isn't allowed Avoma Assistant joins as a participant instead.
You leave and rejoin Recording pauses while you're away and picks up again when you're back.
The host stops sharing with apps Recording stops. Anything said after that can't be recovered.
The host turns sharing back on Recording continues.
The meeting moves into breakout rooms Only the main room is recorded.

Meetings hosted by other companies

Situation What happens
You join the meeting Avoma Assistant joins after you, and Zoom shows that you brought it.
The host has a waiting room The host needs to admit Avoma Assistant.
The host removes Avoma Assistant Recording stops for that meeting.
You leave, and a teammate who has connected Zoom is still in the meeting Avoma Assistant drops out for a moment and rejoins through your teammate. A few seconds may be missed.
You leave, and no connected teammate is in the meeting Avoma Assistant leaves and recording stops.

Not supported

Situation What happens
Zoom webinars Not recorded. Neither direct recording through Zoom nor Avoma Assistant supports webinars.
